Email Logs

This section contains information to help you interpret Email Log reports. To learn how to create an Email Log report, please view the help topic, Using the Report Builder. If you have already created an Email Log report, this section will help you understand the report results.

Guide to Report Results

This guide contains the definitions for each possible value you'll find in the Delivery Results and Response columns of the Email Log report.

Delivery Results

·        Blocked: The email address the system was trying to contact is on the Blocked Email list.

·        Bounced: We were completely unable to deliver the email to the recipient's email address due to some problem with the recipient's email service provider. This error was not due to a problem with the recipient's email address.

·        Delivered: We have received confirmation from the recipient’s email server that the email was successfully queued for delivery.

·        Duplicate: After sending an initial message, the system will flag an email address as duplicate if it is encountered again in the same notification Broadcast.

·        Invalid Address: We were unable to deliver an email to this recipient's email address because it is invalid.

·        No Email Selected: The recipient's email address was not associated with the Broadcast type. For example, if a recipient's email address was associated only with emergency Broadcasts and not general notifications, a general notification with an email message component and a list including  the recipient would result in  "No Email Selected".

·        No Email: The recipient doesn't have an email address.

·        Opened: The email was opened by the recipient.

·        Soft Bounced: Our attempts to deliver the email to this recipient have failed so far, but we're still trying. This can happen if, for example, the recipient's inbox is full or if there is some temporary problem with their email server.

·        Sent: The email has been sent to the recipient's email address, but we haven't received any more information from the recipient’s email server yet. Many emails with a status of sent may actually be successfully delivered but since we haven’t received confirmation from the recipient’s mail server, we categorize it as sent.  

·        Unsent: The email hasn't been sent to the recipient yet.

The topmost part of the Email Log contains field and output options for creating the report.

·        Display Fields: Additional fields which can be included in the report

·        Output Format: These buttons allow you to download your report as a CSV or PDF file.

Filter by Result Type

Easily filter and narrow results by selecting the additional filters and clicking Refresh.

·        Attempted: the system has sent out the email.

·        Unsent: The email hasn't been sent to the recipient yet.

·        Duplicate: After sending an initial message, the system will flag an email address as duplicate if it is encountered again in the same notification Broadcast.

·        Blocked: The email address the system was trying to contact is on the Blocked Email list.

·        No Email Selected:  The recipient's email address was not associated with the Broadcast type. For example, if a recipient's email address was associated only with emergency Broadcasts and not general notifications, a general notification with an email message component and a list including  the recipient would result in  "No Email Selected".

·        No Email: The recipient doesn't have an email address.

Report Details

The lower half of the report contains the Report Details which shows each recipient called and the results of the call. It's sections include:

·        Job: The Broadcast that the recipient is associated with.

·        Submitted by: The user who submitted the Broadcast associated with the recipient.

·        ID#: The ID number of the recipient in the database.

·        First Name: The recipient's first name.

·        Last Name: The recipient's last name.

·        Message: The name of the message the recipient received. The icon next to the message displays the type of message sent; phone or email.

·        Destination: The email address that was used to reach the recipient.

·        Attempts: The number of attempts to reach this recipient.

·        Last Attempt: The last time that the system tried to contact the recipient.

·        Delivery Results: Shows the result of the delivery attempt. Results are explained in the Guide to Report Results in the blue box on this page.

·        Response: This column is no longer populated for email reports.  It is only used for phone calls that used the Voice Response feature.  The Delivery Results field will contain a value of Opened if the recipient opened the email.

·        School: The school associated with the recipient.
